The Client
A U.S.-headquartered global healthcare and life sciences organization operating across pharmaceuticals, biotechnology, and medical technologies. They manage complex, regulated workflows across research, operations, and corporate functions, supported by a large and distributed workforce.
With a strong foundation in digital workplace tools, the organization had already introduced enterprise AI capabilities across its environment. Our work focused on bringing consistency and visibility to how those capabilities were being used across the business.
The Challenge
AI capabilities were made broadly available—licenses for more than 100,000 users throughout the enterprise—creating new opportunities to improve productivity and streamline work across functions. But it was clear that the availability of a license wasn’t enough to drive adoption across a complex, global operation.
As adoption began to grow, it became clear that different groups and functions were exploring different use cases, and usage was inconsistent. Leadership was looking for a clearer view into how adoption was progressing, where it was delivering the most value, and emerging issues that could be addressed.
The opportunity was to bring greater alignment to these efforts—establishing a structured approach to identifying use cases, guiding adoption across roles, and tracking how usage connected to business workflows.
The Solution
Insight Global worked with our client to design and implement an Enterprise Copilot Adoption and Readiness framework focused on clarity, alignment, and repeatability across 9 enterprise cohorts.
The approach centered on three areas:
- Governance to define how use cases are identified, evaluated, and prioritized
- Adoption and change to bring consistency to engagement across teams
- Value measurement to establish a shared view of how adoption is progressing
Through working sessions with stakeholders across business and technology functions, we helped translate broad access into a more coordinated approach aligned to how work is performed across the organization.
How We Changed the Game
Insight Global introduced a more structured way to guide and manage adoption across the enterprise.
This included:
- Identifying and documenting high-value use cases aligned to existing workflows
- Creating a centralized use-case backlog to support prioritization and coordination
- Defining success measures using an established value framework to support visibility and tracking
- Structuring rollout efforts around roles and functions to improve relevance across teams
- Developing enablement and communication plans tailored to how different groups operate
This brought greater consistency to how adoption was approached, while maintaining flexibility for different parts of the business.
The foundation also supports continued evolution as new capabilities and more advanced use cases are introduced over time.
Outcomes and Impacts
With a more structured framework in place, the organization is better equipped to guide adoption across teams and functions:
- A defined approach for identifying, prioritizing, and advancing AI use cases
- Improved visibility into usage patterns across the organization
- More consistent engagement supported by targeted enablement
- A clearer connection between tool usage and business workflows
- Reduced variability through role-aligned guidance and communication
This provides a more coordinated and sustainable approach to adoption over time.
The Insight Global Difference
Insight Global brings a practical, execution-focused approach to enterprise initiatives like this.

How We Did It
This engagement was delivered within the client’s existing Microsoft ecosystem, including collaboration tools, reporting platforms, and extensibility capabilities.
The focus was on strengthening how those tools were used—supported by governance, enablement, and measurement—rather than introducing new systems.
