Job Description

An employer is seeking a Project Coordinator to support a high-visibility Program Manager leading enterprise-level commercial and technical initiatives. This role will play a critical part in ensuring program execution runs smoothly by owning administrative coordination, documentation, and stakeholder communication across multiple executive-level workstreams.
The Project Coordinator will work closely with the Program Manager and interact with C-suite stakeholders, supporting ongoing initiatives that focus on solution development, go-to-market strategy, and program commercialization. This individual will help drive organization, visibility, and accountability across fast-moving projects.
Key responsibilities include:
Coordinating scheduling for executive-level meetings, partnering closely with executive assistants to manage complex calendars
Attending program meetings (including C-suite discussions), capturing detailed notes, and documenting key decisions and action items
Supporting the Program Manager by preparing status reports, tracking progress, and maintaining documentation across workstreams
Managing program-level administrative tasks, including rate logs, reporting, and overall coordination efforts
Assisting with gathering and documenting project requirements
Creating and updating executive-facing PowerPoint presentations
Proactively identifying gaps, asking clarifying questions, and speaking up when additional documentation or alignment is needed
This role requires a highly organized, proactive individual who can thrive in a fast-paced, high-pressure environment and act as a reliable support partner to senior leadership initiatives.

Required Skills & Experience

2+ years of experience as a Project Coordinator or similar role supporting program or project management efforts
Experience working in a fast-paced program management environment with multiple stakeholders and workstreams
Strong organizational and note-taking skills, with the ability to capture and communicate key information clearly
Experience supporting executive-level meetings and interacting with senior stakeholders
Proficiency with Microsoft Office Suite (PowerPoint, Excel, Outlook, Teams)
Experience tracking budgets or financial data (Excel-based tracking preferred)
Strong communication skills with the ability to ask questions, clarify requirements, and drive follow-up

Nice to Have Skills & Experience

Experience supporting complex programs with both technical and business/commercial components
Prior exposure to creating executive-level presentations
Experience using tools like Copilot or similar productivity tools for meeting notes and documentation
