Job Description
We are seeking a detail-oriented Intake Coordinator to join our growing pediatric care organization. This role plays a critical part in ensuring timely, accurate intake of patient information to support high-quality care delivery. The ideal candidate thrives in a fast-paced, data-driven environment, enjoys structured work, and takes pride in maintaining clean and accurate records.
This is a hybrid position based in Dallas, TX, with the majority of the workday focused on data entry and system navigation.
Key Responsibilities:
• Accurately enter and maintain patient referral and demographic information within the organization’s Electronic Health Record (EHR) system
• Review intake documentation for completeness, accuracy, and compliance requirements
• Perform high-volume data entry while maintaining exceptional attention to detail
• Communicate effectively with internal clinical and administrative teams to resolve missing or incorrect information
• Utilize spreadsheets and internal tracking tools to manage intake workflows and documentation status
• Ensure timely processing of intakes to support patient care timelines
• Maintain confidentiality and compliance with HIPAA and organizational policies
• Actively contribute to a collaborative, team-oriented culture, supporting peers as needed

Required Skills & Experience
• Bilingual in English and Spanish (spoken and written)
• High words-per-minute (WPM) typing speed with proven accuracy
• Prior experience working with EHR systems
• Strong comfort level navigating and updating spreadsheets (Excel or similar tools)
• Exceptional attention to detail and organizational skills
• Ability to manage repetitive tasks while maintaining focus and quality
• Strong written and verbal communication skills
Nice to Have Skills & Experience
• Previous experience in a healthcare intake, referral, or administrative support role
• Experience in pediatric healthcare or a similar clinical setting
• Familiarity with high-volume data entry environments
