Job Description
The company is seeking a detail-oriented, adaptable Office Manager / Administrative Assistant to support a high-activity construction jobsite. This role is critical to day-to-day administrative operations, onboarding coordination, document control, and financial/admin accuracy. The ideal candidate brings strong administrative experience, excellent soft skills, and thrives in a fast-paced, construction-focused environment.
This is not a customer support role - candidates must have hands-on administrative or office management experience.
Key Responsibilities
- Provide comprehensive administrative and office management support for an active construction jobsite, ensuring accuracy, organization, and timely execution of tasks
- Coordinate employee onboarding and offboarding, including badging, site access, safety compliance, drug screening documentation, new hire orientation logistics, and submission of all required paperwork to HR
- Manage jobsite documentation and records, including scanning, filing, and maintaining safety documents, shipping tickets, labor reports, and accounting-related data
- Support Project Managers with document control, submittal tracking, RFI logging, and general project administration
- Handle jobsite financial and administrative processes, including data entry, Excel tracking, credit card statement organization, and ensuring checks and documentation are distributed to correct jobsites
- Maintain office operations by tracking inventory, ordering supplies, managing mail merges and label printing, and keeping shared files and systems organized
- Serve as a reliable point of coordination between the field, project teams, HR, and corporate offices to ensure smooth day-to-day operations

Required Skills & Experience
- Bachelor’s degree required
- 3+ years of experience in office administration or office management
- Strong attention to detail and organizational skills
- Proven ability to manage multiple priorities and deadlines
- High level of professionalism and strong interpersonal (soft) skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Ability to work independently while supporting a larger team
- Reliable, consistent attendance (Monday–Friday)
