Job Description

Position Description (Hutto / Parmer)
The Workplace Coordinator is a self-starter who must be highly detail-oriented, possess strong communication skills, and demonstrate diligence throughout task and project completion. This individual will provide excellent customer service, deliver quick solutions, and ensure requests are completed in a timely manner.
This role requires hands-on support, including furniture assembly and moving boxes or large items throughout the facility.

Core Responsibilities
Site Operations & Logistics
• Coordinate travel between sites
• Manage daily vendor and visitor access, including temporary badge issuance per security policies
• Conduct site walks to assess conditions, identify deficiencies, and create task lists
• Perform basic maintenance (lightbulbs, cove base, carpet tiles)
• Support preventative maintenance programs, including invoice review and documentation
Facility & Equipment Management
• Oversee workplace equipment upkeep, inventory, and supply replenishment (office, breakroom, culinary)
• Maintain and create EHS-compliant signage
• Manage vehicle charging schedules where applicable
• Assemble office furniture and manage deliveries using pallet jacks or utility carts
Process & Project Support
• Serve as primary point of contact for workplace/facility requests via shared inbox
• Develop and distribute site-wide communications
• Support events (setup, staffing, cleanup)
• Assist in creating and improving workplace processes
• Maintain vendor tracking, inventory spreadsheets, and budget oversight to stay within quarterly allocations
Collaboration & Standards
• Build and maintain relationships with property managers and local suppliers
• Ensure consistency across all locations through regular monitoring and decision-making on self-performed work vs. vendor escalation
• Uphold safety, cleanliness, and operational excellence across all spaces
