Job Description

The Administrative Assistant will provide day-to-day administrative support to the Head of the PMO within a large financial institution. This role is highly execution‑focused and centered on core administrative responsibilities that keep the PMO operating smoothly. The successful candidate will manage onboarding and offboarding logistics, coordinate access and equipment requests, support internal events, and ensure a consistent, professional standard across PMO materials and presentations. This is a hands-on admin role requiring strong organization, attention to detail, and the ability to work comfortably in a structured corporate environment.

Required Skills & Experience

Proven experience in an administrative or executive support role within a corporate environment
Hands-on experience supporting onboarding and offboarding activities (system access, laptops, passes, coordination with internal teams)
Experience submitting and tracking laptop, hardware, and access requests
Skilled in coordinating building access, badges, and physical passes
Strong attention to detail; able to ensure presentations and decks follow consistent fonts, formatting, and corporate branding standards
Experience organizing meetings, internal events, and team logistics
Strong organizational and time-management skills with the ability to manage multiple requests simultaneously
Professional communication skills and comfort working with senior leaders

Nice to Have Skills & Experience

Previous experience supporting a PMO, project team, or program environment
Exposure to project-based or portfolio-driven organizations
Experience working within a financial institution or highly regulated environment
Familiarity with PowerPoint formatting standards and executive-ready materials
Experience coordinating across multiple internal teams (IT, facilities, security)
