Job Description

The Receiving Specialist is responsible for controlled receipt of inbound materials across receiving, initial inspection, documentation validation, tagging, and system entry activities on an active construction site.
This role ensures materials are properly scheduled, verified, inspected, identified, and entered into the designated system of record at the point of arrival in alignment with project controls, location requirements, and downstream material flow.
This is a site execution role with real accountability for receiving discipline, first-point traceability, delivery control, and data accuracy. The position is expected to reduce unplanned deliveries, undocumented receipts, damaged or unknown material intake, uncontrolled drop zones, and off-system receiving activity through disciplined process execution and accurate system records.

Key Responsibilities
• Coordinate inbound material receipts, including scheduled deliveries, gate verification support, quantity checks, condition inspection, tagging, and immediate system entry.
• Verify deliveries against purchase orders, packing slips, expected deliveries, and approved receiving windows before unload or release.
• Support RFID, barcode, handheld scanner, and mobile workflow usage for receiving, exception capture, initial location assignment, and traceability where applicable.
• Ensure received materials are identified and recorded using the approved site hierarchy, including site, area, zone, laydown, position, staging, and point-of-use locations where applicable.
• Coordinate material handoff from receiving to laydown, storage, buffer staging, or designated hold areas in line with site priorities and workfront readiness.
• Perform daily reconciliation of receipts versus expected deliveries and support escalation of shortages, overages, damage, wrong items, and missing paperwork.
• Identify, document, and escalate delivery exceptions, including damaged material, unknown shipments, incorrect quantities, missing documentation, and unauthorized arrivals in real time.
• Maintain quarantine controls for damaged, mismatched, or unverified material until disposition is confirmed.
• Help enforce site material rules, including no receiving without system entry, no release without validation, no uncontrolled drop-offs, and no side tracking tools for in-scope receiving activities.
• Coordinate closely with the Materials Manager, material coordinators, logistics, procurement, yard personnel, warehouse support, field teams, and project controls to keep inbound material flow controlled and visible.

Required Skills & Experience

• 2+ years of experience in receiving, warehouse operations, logistics, material control, or construction material handling.
• Experience supporting active industrial, mission critical, energy, manufacturing, data center, or large commercial construction environments preferred.
• Working knowledge of receiving, inspection, documentation validation, material identification, and controlled handoff processes.
• Experience using inventory platforms, ERP systems, construction operations systems, handheld scanners, or mobile field tools.
• Ability to read purchase orders, packing slips, shipment documentation, and delivery schedules.
• Strong organizational skills and strong attention to detail.
• Ability to work in a fast-moving site environment and coordinate across field and office teams without losing control of documentation, receipt accuracy, or material status.

Nice to Have Skills & Experience

• Experience with RFID-enabled material tracking, barcode systems, or mobile material workflows.
• Experience supporting receiving audits, discrepancy resolution, quarantine control, and first-point material traceability.
