Job Description
Reporting to the Chief of Staff, the Executive Assistant supports the CEO’s Office through operations management, special projects, and cross-functional coordination. The role offers an opportunity to strengthen organizational, project management, and communication skills while gaining insight into the operations of a leading social enterprise. 50% of your time will be spent on the CEO’s team.
You will spend an additional 25% of your time working on administrative projects with the Human Capital team, and the remaining 25% filling in gaps wherever they are needed within an organization, a department, or across multiple locations, ensuring operations run smoothly despite staff absences, high-demand periods, or unexpected events. The ideal candidate thrives in a fast-paced, entrepreneurial setting, demonstrating professionalism and the ability to manage multiple priorities seamlessly.
D2D:
-Work closely with the CEO / Founder and Chief of Staff to maintain a strong internal and external presence, maximizing the CEO’s time and supporting effective organizational leadership.
-Coordinate correspondence and maintain a database of senior-level contacts; develop frameworks and processes to enhance efficiency and effectiveness across the CEO’s Office.
-Proactively manage daily operations for the CEO’s Office, establishing priorities and improving workflows to ensure smooth execution of key initiatives.
-Draft and edit internal and external communications, including emails, acknowledgment letters, reports, and presentations, ensuring accuracy, clarity, and alignment with MLT’s brand and voice.
-Manage scheduling and logistics for the CEO’s meetings with partner organizations, the Senior Leadership Team, and the Board, including agenda preparation, minute-taking, material development, and follow-up actions.
-Prepare and reconcile expense reports, manage calendars, and coordinate complex travel arrangements.
-Build and maintain strong relationships with internal and external stakeholders, demonstrating professionalism, discretion, and a client-service mindset

Required Skills & Experience
-Bachelor's Degree
-4-6 years of experience as an Executive Assistant to C-Suite
-Strong proficiency in Google Workspace (Docs, Sheets, Slides, and Drive).
-Familiarity with Zoom
-Demonstrated maturity and discretion in managing confidential and sensitive information
-Experience with scheduling and calendar management
-Experience coordinating and managing travel
-Extremely professional written and verbal communication skills
