Job Description

The Medical Records Specialist is responsible for obtaining, organizing, and maintaining complete and accurate patient medical records to support diagnostic imaging and clinical care. This role plays a critical part in ensuring prior imaging and documentation are available for radiologists ahead of diagnostic exams, while maintaining strict compliance with HIPAA and patient privacy regulations.

Key Responsibilities:
-Request, collect, and organize patient medical records from internal and external sources
-Obtain prior imaging studies and reports for radiologist review prior to diagnostic exams
-Upload, index, and maintain records within the EMR/EHR system accurately and timely
-Ensure all medical records are complete, legible, and properly labeled
-Coordinate with imaging departments, clinical teams, and external facilities as needed
-Maintain compliance with HIPAA, patient privacy laws, and medical record handling standards
-Track record requests and follow up to ensure timely receipt
Identify missing or incomplete documentation and take corrective action
-Support the radiology and clinical teams by ensuring records are available for patient appointments and procedures

Required Skills & Experience

- Strong knowledge of HIPAA regulations, patient privacy laws, and medical records handling standards
- Hands-on experience working with EMR/EHR systems
- Excellent attention to detail and strong organizational skills
- Proven ability to manage multiple tasks and priorities in a fast-paced environment
- Strong time management skills with the ability to meet deadlines
- Ability to work independently with minimal supervision
- Ability to collaborate effectively as part of a healthcare team

Nice to Have Skills & Experience

- Previous experience in oncology, radiology, or diagnostic imaging settings
- Experience requesting medical records or prior imaging from external facilities
- Familiarity with high-volume medical record environments
