Job Description
Department Operations & Chief of Staff Support
• Partner directly with the Chief of Staff to drive operational governance, financial tracking, and resource planning across the G-DIM organization.
• Manage and track departmental budget, forecasts, accruals, and vendor contracts within an IT portfolio setting.
• Support annual operating planning, quarterly re-forecasts, and long-range financial planning cycles.
• Maintain and track headcount, contractor allocations, and resource capacity across initiatives.
• Develop executive-ready dashboards and operational summaries for leadership review.
Data Analytics & Reporting Excellence
• Leverage advanced Microsoft Excel capabilities (pivot tables, modeling, dashboards, automation) to analyze financial, resource, and performance data.
• Develop structured SharePoint repositories for documentation, knowledge management, and portfolio transparency.
• Standardize and automate reporting processes to reduce manual effort and improve data accuracy.
Process Optimization & Digital Enablement
• Identify opportunities to streamline operational processes through automation and digital tooling.
• Apply desktop AI tools (e.g., ChatGPT, Microsoft Copilot) to enhance documentation, reporting efficiency, data synthesis, and workflow optimization.
• Create process documentation, playbooks, FAQs, and quick reference guides to support operational consistency.

Required Skills & Experience
Required Qualifications (Must Haves)
• 9–11 years of experience in business operations support, budget tracking, contract oversight, and resource management.
• 5+ years of pharmaceutical industry experience, ideally supporting Global R&D Development organizations.
• Advanced proficiency in Microsoft Excel.
• Experience utilizing SharePoint to build and maintain reporting and documentation.
• Demonstrated ability to synthesize complex data into concise executive summaries.
• Strong interest in leveraging AI-enabled productivity tools (ChatGPT, Microsoft Copilot) to improve operational workflows.
• Experience with data visualization tools (Power BI or similar).

Preferred Qualifications
• Experience supporting a Chief of Staff or senior executive leadership team.
• Background in continuous improvement or operational excellence initiatives.
• Ability to operate independently in a fast-paced, matrixed global environment.
