About the Company
Insight Global’s client is a family-owned commercial flooring contractor based in Southwest Austin, Texas. The company operates with a tight-knit team of approximately 20 employees, split between office staff and field installers, and is known for its hands-on approach, strong vendor relationships, and commitment to delivering quality commercial flooring projects. This is a fully in-office environment where collaboration and visibility across projects are key.

Responsibilities
Track incoming bid invitations throughout the day and record project details in internal tracking systems to support estimating efforts.

Organize bid-related documents and coordinate with manufacturers and vendor representatives to obtain accurate pricing information.

Communicate quickly with internal leadership when projects involve large material volumes or elevated cost considerations.

Support estimators and project managers with bid follow-ups, pricing confirmations, and ongoing job tracking.

Order samples and assemble complete submittal packages once projects are awarded, ensuring all required documentation is prepared for general contractors.

Monitor submittal responses from general contractors and communicate approvals or revisions to the project team.

Maintain current and accurate project data within project management tools, including adding new projects and updating progress.

Coordinate daily with office staff and installation teams to track completed tasks, new action items, and overall job status.

Assist with material procurement by gathering lead-time information and flagging potential sourcing or delivery risks.

Support job costing efforts by helping ensure project budgets, costs, and financial tracking remain accurate throughout the project lifecycle.

Track change orders and supporting documentation, coordinating with accounting as needed.

Assist with reviewing RFIs, drawing updates, and project revisions.

Coordinate material returns with vendors, representatives, and warehouses, including follow-up on credits.

Help organize and maintain digital project folders by filing and managing critical documentation from start to finish.

Required Skills & Experience

2+ years as a Project Coordinator
Experience within construction or a similar industry
Experience Analyzing information, Planning, Creating Reports and Presenting Results
Strong organizational skills and attention to detail when managing documentation, costs, and timelines.
Experience working closely with Project Manager, Mill Reps and General Contractors
Ability to manage multiple projects and priorities in a fast-paced office environment.
Clear and professional communication skills when working with internal teams, vendors, and contractors.
Experience using spreadsheets, document management tools, and PDF software such as Excel and Adobe Acrobat.
Comfort working fully onsite Monday through Friday from 7:00 AM to 4:00 PM.

Nice to Have Skills & Experience

Bachelor’s degree in a related field or equivalent hands-on experience.

Experience working in commercial construction

Flooring experience considered a very strong plus!
