Job Description

The Assistant Facilities Manager supports the Facilities Manager in overseeing day-to-day operations across a building, campus, or portfolio. This role ensures the facility is well-maintained, operationally efficient, and aligned with client expectations. Responsibilities include vendor management, maintenance oversight, financial tracking, and ensuring compliance with safety, regulatory, and operational standards. The position also focuses heavily on tenant satisfaction, proactive issue resolution, and supporting long-term facility planning.

Required Skills & Experience

• 3–5+ years of facilities management experience, preferably in commercial or industrial environments
• Experience overseeing day-to-day facility operations (janitorial, maintenance, life safety, engineering services)
• Strong understanding of vendor management, contract review, and invoice reconciliation
• Experience supporting budgets, financial tracking, and reporting (monthly/quarterly)
• Ability to respond to and resolve building maintenance and tenant service requests
• Knowledge of compliance and documentation (OSHA logs, ADA, safety manuals, emergency procedures, etc.)
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
• Strong communication skills (written and verbal) and problem-solving ability
Associate’s degree in Facilities Management, Business, or related field

Nice to Have Skills & Experience

• Bachelor’s degree in a related field
• Experience with CMMS or work order management systems
• Background in maintenance, construction, or engineering
• Industry certifications (CFM, IFMA, BOMA, or similar)
• Experience reading construction drawings and specifications
• Knowledge of Building Management Systems (BMS)
• Experience with financial systems such as Yardi
• Exposure to capital planning and multi-year facility improvement initiatives
• Strong leadership, teamwork, and relationship management skills
