Job Description

Our client is hiring 2 Vehicle Administrative Coordinators to support a high-volume vehicle licensing operation. This role sits one step before the Licensing Coordinator and is responsible for receiving, validating, and organizing vehicle ownership documentation for new vehicles entering the client's network.

This is an onsite, hands-on administrative role, ideal for someone who is highly organized, detail-oriented, and comfortable working in a fast‑paced office environment. You will work closely with one other coordinator and a specialist who handles escalations and manufacturer-related issues.

Key Responsibilities

- Receive and review vehicle ownership documents (including MSOs) used for vehicle licensing.
- Verify that all documentation accurately matches internal system records (VIN, make, model, ownership details, etc.).
- Enter, update, and maintain accurate vehicle and documentation data in internal systems.
- Prepare and hand off completed documentation packages to Licensing Coordinators for vehicle licensing and billing.
- Manage the shipping, tracking, and organization of license plates and related paperwork.
- Maintain highly organized physical and digital files; document process notes accurately.
- Communicate daily with your partner coordinator and specialist regarding status, issues, and workload.
- Identify discrepancies or missing documentation and escalate issues appropriately.
- Adapt to daily workflow changes and fluctuating volumes while maintaining accuracy.

Additional Notes
- This is not a call center or customer service role.
- Candidates must be available for consistent, full-time onsite hours.
- Time off for school or class schedules cannot be accommodated during this assignment.

Required Skills & Experience

- High school diploma or GED.
- Prior experience working in an office or administrative environment.
- Strong organizational skills and attention to detail (must‑have).
- Ability to work in a fast‑paced, deadline-driven setting.
- Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).
- Ability to work onsite full time with reliable attendance.

Nice to Have Skills & Experience

- Associate’s or bachelor’s degree.
- Previous experience with DMV, vehicle licensing, fleet administration, or title processing.
