Job Description

Day-to-Day:
Insight Global is seeking an Office Manager with an "above & beyond" attitude to manage day-to-day office operations of our advertising services client's 60-employee Redwood City, CA office. This person will be responsible for office reception, including welcoming visitors, utilizing software systems to check in guests, managing relationships with vendors to ensure all aspects of the office are running smoothly and escalating when appropriate. They will support daily office needs including handling day to day requests for any in office services, coordinating equipment, setting up meeting rooms, manging the conference room calendar and assist with scheduling and rescheduling of meetings. Additional responsibilities include:

- Maintain office environment including reception area and kitchen
- Replenish office snacks & beverages on a daily basis
- Order office snacks, beverages, supplies, etc.
- Receive and sign for packages and deliveries
- Coordinate any office building maintenance with appropriate building management or outside vendors
- Provide administrative support to the senior leadership team by scheduling meetings, balancing competing responsibilities, and making decisions to optimize for priority and availability.
- Prepare and provide all briefing materials and bios prior to the executive meetings and engagements.
- Assist in managing relationships with vendors to ensure all aspects of the office are running smoothly and escalating when appropriate.
- Act as a point of contact for building and facility vendors as well as employees.
- Act as an ambassador of our culture and core values and serve as the face of our company at our office.

Required Skills & Experience

Required Skills & Experience:
- 2+ years of Administrative Assistant, Front Desk Coordinator, or Office Manager experience
- Experience setting up conference rooms for executive meetings
- Experience overseeing the day-to-day operations of a corporate office environment, ensuring the office is maintained to the highest quality standards
- Enthusiastic, resourceful, dependable, and organized
- Highly proficient in PC & Mac Systems, Google Suite, and Microsoft Office

Nice to Have Skills & Experience

Plusses:
- Bachelor’s Degree is preferred
- Experience supporting Finance teams is highly desirable
- Experience in a start-up environment
