Job Description

We are seeking a polished, proactive Executive Administrator to support the CEO of a higher education institution and act as a key partner across daily operations, executive communication, and strategic initiatives. This role sits at the center of the organization, regularly interfacing with senior leadership and the board, and requires strong professionalism, discretion, and executive presence. You will own critical administrative functions while managing high-visibility meetings, communications, and projects. This is a fast-paced, high-impact opportunity within a growing organization where your work will be closely tied to leadership success.

Responsibilities:

Manage CEO calendar, travel, expenses, and day-to-day logistics
Prepare presentations, board decks, reports, and written communications
Coordinate and run senior leadership and board meetings (agendas, notes, follow-ups)
Act as liaison between CEO, leadership team, and board members
Organize contracts, subscriptions, licenses, and digital filing systems
Support planning and execution of board events, leadership retreats, and company milestones
Build surveys, gather data, and synthesize information into clear outputs
Track key initiatives and ensure follow-through across teams
Assist with ad hoc administrative and office needs as required

Required Skills & Experience

8+ years of executive or high-level administrative experience
Strong communication skills with a natural, professional presence
Ability to manage multiple priorities with urgency and attention to detail
Advanced proficiency in Google Suite
Experience preparing executive-level materials and supporting leadership meetings
Highly organized, adaptable, and able to work independently
High level of discretion handling confidential information

Nice to Have Skills & Experience

Undergraduate degree at an Accredited University
Experience supporting C-level executives or working with a board
Background in contract or legal document management
Experience coordinating large-scale events or offsites
Strong ability to organize and present data clearly
High-level travel coordination experience
