Job Description

Role Overview
The Contracts Administrator supports a high-volume contracts function within a construction and utilities environment. This role focuses on improving contract visibility, tracking, and compliance across subcontractor agreements, insurance, licensing, and public works documentation.
Over the next 6–12 months, this role will help:
Centralize and organize contract management processes
Improve visibility and reporting on MSAs and subcontract agreements
Support increased contract review and renewal volume
Strengthen follow-up on compliance items (COIs, licenses, documentation)
Support internal understanding of certified payroll and public works requirements

Key Responsibilities
Contract Administration & Review
Review and support execution of MSAs, subcontracts, and related documents
Review redlines and route for approval
Validate bill rates and assist with contract setup and renewals
Support IT, Operations, and other teams with contract reviews
Compliance & Public Works Support
Track COIs, subcontract compliance, and renewals
Support certified payroll and public works documentation
Ensure contract and compliance alignment for invoicing
Assist with lien waivers, bonds, and compliance documentation
Business License Management
Prepare and submit new and renewal business licenses
Track compliance across all jurisdictions
Coordinate internal approvals and signatures
Process payments via portals, checks, or expense reports
Systems, Tracking & Visibility
Maintain contract trackers and spreadsheets
Support KPI tracking and reporting
Organize SharePoint folders and improve document structure
Ensure accurate contract data visibility for leadership
Collaboration & Flexibility
Partner closely with Procurement, Contracts, and Operations
Adapt to shifting priorities in a fast-paced environment
Provide professional representation during contract discussions

Required Skills & Experience

2+ years in contracts administration, compliance, or related roles
Experience in construction, utilities, or adjacent industries (restoration, subcontractor services, public works)
Strong organization, attention to detail, and follow-through
Ability to manage multiple priorities in a fast-paced environment
Construction / utility industry exposure
Strong technical skills:








Microsoft Word
Excel (pivot tables preferred)
SharePoint
Smartsheet
Willingness to learn Vista (ERP)
Ability to review contract redlines and flag key issues
Professional communication and negotiation skills
Flexible and comfortable with office-based collaboration

Nice to Have Skills & Experience

Exposure to:






Certified payroll (CIO/OSIP)
Lien waivers
Public works compliance
Notary certification (or willingness to obtain)
