Job Description
Front Desk Duties:
● Greeting and Welcoming: Warmly greet visitors, clients, and employees upon arrival. Ensure all guests
sign in and are directed to the appropriate person or department. Maintain a professional lobby area
with clean counter space and offer water to guests.
● Phone Management: Daily checking of voicemail. Answer, screen, and forward incoming phone calls in
a professional manner. Provide basic information and take messages via email as needed.
● Mail and Deliveries: Sort, distribute, and manage incoming and outgoing mail and deliveries. Notify
recipients promptly.
Administrative Support:
● Scheduling and Calendar Management: Assist in scheduling appointments, meetings, and conferences.
Maintain and update calendars for executives and team members.
● Correspondence: Draft, proofread, and send emails, letters, and other communications professionally
and grammatically correct. Handle confidential and sensitive information with discretion.
● Client and Provider filing: Sort and manage current and closed files daily according to contracted
compliance requirements. Organize and maintain electronic and physical files, ensuring proper filing
and retrieval systems. Prepare and edit documents, reports, and presentations.
● Office Supplies: Monitor and order office supplies for all office locations once per month. Maintain
inventory and manage supplier relationships with other needs (cleaners, phone reps, printer reps. Etc).
● Data Entry: Accurately enter and update data in various systems and databases. Maintain records and
generate reports as needed.
● Travel Arrangements: Coordinate travel arrangements, including flights, accommodations, and
itineraries for staff and executives.
● Event Planning: Assist in planning, organizing and attending company events, meetings, and
conferences, including logistics and vendor coordination.

Required Skills & Experience
- High school diploma or equivalent required
- Minimum of 2 years of experience in an administrative or front desk role.
- Independent problem-solving
- Proficiency in Google Workspace, Canva, and MS Word + Excel
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills.
- Ability to multitask, prioritize tasks effectively and complete tasks within deadlines.
- High level of professionalism and customer service orientation.
- Attention to detail and problem-solving skills
Nice to Have Skills & Experience
- Associate’s or Bachelor’s degree in Business
Administration or related field preferred.
