Insight Global Consulting is seeking a Business Systems Specialist I to support a large-scale utility client’s Asset Knowledge Management (AKM) and electric mapping initiatives. This individual will play a key role in supporting process improvement, documentation development, and program coordination across As-Built and Request for Work workflows.
This candidate will partner closely with process leads and stakeholders to ensure workflows are clearly documented, trackers are maintained, and issues are proactively managed. Responsibilities include supporting technical documentation, coordinating meetings and communications, updating reporting inputs, and assisting with training and process improvement initiatives. The ideal candidate thrives in a fast-paced, highly regulated environment and is comfortable managing multiple workstreams while driving organization, clarity, and consistency across program activities.
This is a highly collaborative role offering exposure to enterprise-scale process transformation, documentation governance, and operational improvement efforts within a critical infrastructure environment.
Day-to-Day:
• Support As-Built and Request for Work programs through documentation, coordination, and reporting
• Maintain and update trackers including status, priorities, action items, dependencies, and issues
• Coordinate recurring and ad hoc meetings (agendas, notes, action tracking, follow-ups)
• Assist with issue tracking, resolution follow-up, and stakeholder communication
• Provide documentation support including process materials, reference guides, and job aids
• Support EDRS communication workflows and document approval processes
• Track documentation through drafting, review, approval, and publication stages
• Assist with publishing and maintaining controlled documentation in systems like My Catalog/SharePoint
• Provide reporting inputs including status updates, progress summaries, and KPI tracking
• Support training program updates, materials, and coordination as needed
• Help ensure processes are standardized, documented, and aligned with program requirements

For the 25% dedicated consultant day to day responsibilities will be primarily focused on:
• Review current training programs and identify gaps or required updates aligned to evolving processes
• Revise training materials to reflect approved process and documentation changes
• Prepare and update user-facing training content, including presentations, guides, and reference materials
• Support development and organization of training support materials (job aids, exercises, documentation)
• Assist in coordinating and supporting training sessions, including logistics and material preparation
• Support delivery of training sessions, including facilitation assistance and follow-up
• Capture and document training feedback from participants and stakeholders
• Track feedback trends and support continuous improvement of training content and delivery methods
• Partner with documentation teams to ensure training aligns with the most current approved procedures

Required Skills & Experience

• 3–5+ years of experience in documentation, process coordination, or business systems support
• Strong verbal and written communication skills with ability to work across multiple stakeholders
• Experience supporting process documentation, SOPs, or technical documentation
• Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint)
• Intermediate Excel skills (VLOOKUPs, pivot tables, formulas, data tracking)
• Experience managing trackers, action items, or workflow tools in a structured environment
• Experience with systems such as SAP, EDRS, or similar document/workflow tools
• Strong organizational skills with ability to manage multiple priorities simultaneously
• Proactive mindset with strong follow-through on tasks and issues

Nice to Have Skills & Experience

• Prior utility industry experience (ideally PG&E)
• Experience with Visio or process flow diagramming tools
• Exposure to process improvement, QA/QC, or operational efficiency initiatives
• Experience supporting training materials or user enablement programs
• Familiarity with SharePoint or controlled document repositories
