Job Description
A client in Brooklyn is seeking an Administrative Assistant to support the onboarding and compliance process for newly hired school bus drivers for a 3 month contract opportunity. Due to significant organizational growth and increased route volume, this individual will play a critical role in helping the team efficiently onboard drivers, manage compliance documentation, and support walk-in candidates. The ideal candidate is detail-oriented, organized, customer-service focused, and able to manage multiple administrative tasks in a fast-paced environment.
• Conduct administrative support for the driver hiring and onboarding process
• Assist Customer Experience Specialists with candidate offer and onboarding activities
• Coordinate candidates entering training and onboarding programs
• Manage and track required hiring documentation and compliance requirements
• Support completion of NYC DOE compliance paperwork and related records
• Help schedule and facilitate candidate onboarding activities, including physicals and drug screenings
• Respond to candidate inquiries using established templates and communication processes
• Assist walk-in applicants and provide exceptional customer service
• Maintain accurate records in company tracking systems and spreadsheets
• Partner with onboarding team members and local operations staff to ensure drivers are cleared and ready to work

Required Skills & Experience
• 1+ years of administrative, onboarding, compliance, HR support, or clerical experience
• Strong organizational skills with a high level of attention to detail
• Proficiency in Microsoft Excel and Microsoft Office
• Excellent verbal and written communication skills
• Experience working directly with customers, employees, or the public
• Ability to manage multiple tasks and follow established processes
High school diploma or equivalent
Nice to Have Skills & Experience
• Transportation, logistics, fleet, or school transportation industry experience
• Experience supporting compliance or onboarding processes
• Familiarity with PERS, PETS, Trello, or similar tracking systems
• Bilingual in Spanish or Haitian Creole
Experience working with regulatory documentation or licensing processes (DOT, driver compliance, etc.)
